1. Who We Are
Ven Document Services LLC (we, us, our) is a California‐based company that provides non-legal, clerical assistance for completing certain government forms, primarily U.S. immigration forms filed with U.S. Citizenship and Immigration Services (“USCIS”).
We are not a law firm, and we do not provide legal advice, legal representation, or any other services that require an attorney or accredited representative.
Ven Document Services LLC only provides services in the state of California. As a courtesy, we will partially refund you if you pay for our services in good faith from out-of-state.
By using this website, our Jotform intake forms, or any of our services (collectively, the “Services”), you agree to these Terms of Service (“Terms”).

2. No Legal Advice; Not a Law Firm
Ven Document Services LLC and its owners, employees, and contractors are not attorneys and are not accredited representatives.
Nothing we provide, including website content, emails, messages, checklists, examples, or completed forms, is legal advice or a legal opinion.
We do not:
Tell you what your legal rights or options are,
Tell you which form you should file,
Advise you on how to answer questions on a form in order to achieve a particular legal result, or
Represent you before USCIS, ICE, EOIR, any court, or any other government agency.
You are solely responsible for:
Deciding which form(s) to request,
Deciding what information to provide, and
Deciding whether to file, when to file, and where to file.
Using our Services does not create an attorney-client relationship, a fiduciary relationship, or any other special relationship.
3. Where Our Services Are Directed
Our Services are directed primarily to individuals with immigration matters involving the United States. Ven Document Services LLC is organized under the laws of the State of California. By using our Services, you agree that:
These Terms are governed by California law (Section 12 below), and
Any services you purchase are deemed to be performed in California, regardless of your physical location.
If any consumer-protection law in your state or locality gives you additional rights, those rights are not waived by these Terms.
4. Scope of Our Services
Subject to these Terms, we may provide some or all of the following:
Collecting information from you through online forms (for example, through Jotform).
Typing or entering your information into blank government forms that you selected.
Formatting, organizing, and compiling your documents.
Providing general, non-specific information that is publicly available (for example, general filing addresses or publicly posted USCIS instructions).
Providing duplicate copies of completed forms for your records.
We do not:
Choose forms for you,
Guarantee that any form is correct for your situation,
Guarantee that your application will be accepted, approved, or processed within any time frame, or
Communicate with the government on your behalf.
We reserve the right to refuse any matter for any reason that does not violate applicable law (for example, conflicts of interest, abusive conduct, suspected fraud, or matters outside our permitted scope).
5. Your Responsibilities
By using our Services, you agree that:
You choose the forms. You confirm that you, not Ven Document Services LLC, selected the form(s) to be prepared. If you are unsure which form to file, you should consult with a licensed attorney or accredited representative before using our Services.
You provide accurate information. You must submit true, complete, and accurate information. We are entitled to rely on what you provide. We do not investigate, verify, or correct your information.
You review everything before filing. You must carefully review each completed form and all attached materials before signing or filing anything. If you see any error or omission, you must tell us before you sign or file.
You remain responsible for filing and deadlines. You are responsible for printing, signing, mailing, filing, and tracking your own case (unless you separately purchase a clearly described mailing/assembly add-on). You are also responsible for all deadlines, biometrics appointments, interviews, and responses to government requests.
You will not misuse our Services. You will not use our Services to submit false information, commit fraud, or violate any law.
If you fail to meet these responsibilities, we are not liable for any resulting loss, denial, delay, or other harm.
6. Fees, Government Costs, and Payments
Service Fees. Our service fees are flat amounts per form or per package, as listed on our order forms or price lists. These fees cover only our clerical document-preparation work.
Government Filing Fees. Government filing fees (USCIS fees, biometrics fees, postage, etc.) are not included in our service fees and are paid separately by you to the government or relevant third party.
Payment Terms.
Payment is typically due in full at the time you submit your intake form and sign our online contract.
We generally do not begin work until your payment has been processed successfully.
Refunds.
Because our work is custom document preparation based on your information, all fees become non-refundable once we begin work on your matter, except where applicable law requires otherwise or where we choose to issue a courtesy refund.
If you request a cancellation before we begin work, we may issue a partial or full refund at our discretion, less any processing fees.
We do not issue refunds if your application is denied, delayed, rejected, or if you change your mind after we have started working, unless required by law.
Chargebacks. You agree not to initiate a chargeback or payment dispute without first contacting us and giving us a reasonable opportunity to resolve the issue. Unauthorized chargebacks may result in suspension of Services and additional collection efforts.
To the extent these refund terms conflict with a signed written contract or receipt required by law, the written contract or receipt will control.
7. Turnaround Times and Communication
Estimated Timeframes. Any timeframes we provide (for example, “X business days after receiving all information and payment”) are estimates only. We do not control:
How quickly you provide information and documents, or
How long any agency takes to process your case.
Communication Method. We primarily communicate by email using the address you provide in our intake form. You are responsible for checking your email regularly, including spam/junk folders.
Limited Communication. Our business model is streamlined and document-focused. Communication may be limited to what is reasonably necessary to collect information, send drafts, and deliver final documents.
8. No Guarantee of Outcome
You understand and agree that:
Immigration and other government decisions are made by agencies we do not control.
We cannot and do not promise:
That any application or petition will be accepted, approved, or granted,
That you will receive any particular immigration status or benefit, or
That your matter will be processed within any specific period of time.
Any examples of past results are for illustration only and do not guarantee similar results in your case.
9. Privacy and Data
Use of Third-Party Tools. We use third-party platforms (including, but not limited to, Jotform, Stripe, email providers, and cloud-storage services) to operate our business. By using our Services, you consent to the transfer and storage of your information through these providers.
Data Security. We take reasonable steps to protect your information, but no system is perfectly secure. We cannot guarantee the absolute security of your data.
Retention. We generally retain client records (including forms and communications) for at least the minimum period required by applicable law or regulation, and we may retain them longer for business or legal reasons. After that, they may be securely deleted.
Privacy Policy. Additional details about how we collect, use, and protect your information may be described in our separate Privacy Policy. If there is a conflict between these Terms and the Privacy Policy on a privacy issue, the Privacy Policy will control.
10. No Attorney-Client Privilege
Because Ven Document Services LLC is not a law firm and does not provide legal advice, communications with us are not protected by attorney-client privilege. Do not send us confidential information that you intend to share only with an attorney.
11. Termination of Services
We may suspend or terminate Services at any time if:
You fail to pay,
You provide false or misleading information,
You act abusively or unreasonably toward our staff, or
We believe your matter would require legal advice, representation, or other services we are not permitted to provide.
If we terminate Services after payment but before beginning work, we may issue a refund as described in Section 6. If we terminate after work has begun, any refund will be limited and may not be available, depending on how much work has already been completed, subject to applicable law.
You may likewise stop using our Services at any time. However, fees already earned remain non-refundable except as described in Section 6 or as required by law.
12. Limitation of Liability
To the fullest extent permitted by law:
Ven Document Services LLC, its owners, employees, and contractors are not liable for indirect, incidental, special, consequential, or punitive damages of any kind, including lost profits or lost opportunities, arising out of or related to your use of the Services.
Our total liability for any claim relating to the Services will not exceed the amount you actually paid us for the specific service giving rise to that claim.
Nothing in these Terms is intended to limit any non-waivable rights you may have under applicable law.
13. Changes to These Terms
We may update these Terms from time to time. When we do, we will update the “Effective date” at the top of this page. The revised Terms will apply to all new orders and to ongoing Services after the date they are posted.
Your continued use of the website or Services after any changes means you accept the updated Terms.
14. Future LDA Services
At this time, Ven Document Services LLC does not provide Legal Document Assistant (“LDA”) services or prepare civil court forms. If we later offer LDA services in California, those services may be subject to additional or updated terms, disclosures, and written contracts as required by law. In the event of any conflict, the specific LDA contract for your matter will control.
15. Governing Law and Dispute Resolution
These Terms are governed by the laws of the State of California, without regard to its conflict-of-laws rules.
Any dispute arising out of or relating to these Terms or the Services will, to the extent permitted by law, be brought in the state or federal courts located in California. By using the Services, you consent to the personal jurisdiction of those courts.
